Rock and Mineral Collection Inventory

A useful rock and mineral collection is more than a group of objects: every physical specimen needs a stable connection to its identity history, collection event, provenance, locality, condition, and storage location. Assign one unique catalog number to each specimen and do not reuse it. A field number can link the object to observations recorded at the time of collection, while a catalog number identifies it within the managed collection. Preserve original labels, field notes, maps, photographs, receipts, associated fragments, and earlier identifications instead of silently replacing them when a determination changes. Record the specimen name as a working identification when uncertain; distinguish unidentified, provisional, verified, and needs-review states. Keep the complete unaltered original locality in a protected private record. Exact coordinates can expose private land, active claims, protected resources, scientifically vulnerable sites, cultural or Indigenous places, and personal travel patterns. A public or display label should use an honest broader locality or state Locality withheld rather than inventing or randomly shifting a place. Record where the object physically lives—cabinet, drawer, tray, box, or shelf—so the database does not become dissociated from the collection. Condition states should flag fragile specimens, new powder or crystals, corrosion, weeping, odour, colour change, pyrite deterioration, possible radioactivity, fibres, toxic elements, contamination, and other cases that need conservation or hazard review. CSV cells beginning with spreadsheet formula characters are neutralized, but CSV is for analysis and interchange rather than full-fidelity restoration. Browser storage can be cleared, blocked, reset, or lost with the device, so JSON export and independent backup copies are part of the workflow. Should exact specimen localities appear on display labels?
Not automatically. Exact coordinates can expose private property, claims, protected resources, scientifically vulnerable sites, cultural places, or travel patterns. Retain the complete unaltered locality privately and publish an honest broader locality or ‘Locality withheld.’
Is this inventory suitable for an institutional collection?
It is a personal collection starter, not an institutional collection-management system. Museums, permitted projects, repositories, Indigenous or heritage collections, fossils, loans, destructive analyses, regulated materials, and research vouchers may require accession, rights, authority, taxonomic, preparation, conservation, audit, and repository fields beyond this tool.
